Job Description

POSITION SUMMARY:

This position supports the Real Estate Department by developing and maintaining process and procedures for Real Estate department, acting as liaison with outside contractors and internal KCS departments, and preparing and reviewing Real Estate department documents in coordination with other departments.

POSITION REQUIREMENTS:

High school graduate with 5 years administrative support or office management experience, or Bachelor’s Degree from 4-year college or university with 1 years administrative support experience

PREFERRED KNOWLEDGE or EXPERIENCE:

  • Familiarity with contract language

  • Familiarity with GIS applications

  • Knowledge and use of SAP

  • Working knowledge and use of SharePoint

  • Proficient in Microsoft Application suite

SKILLS:

  • Proficiency with the Microsoft Office suite applications

  • Able to read and comprehend contract language

  • Ability to handle multiple projects simultaneously

  • Ability to independently set and meet project deadlines

JOB DUTIES:

  • Enters and tracks departmental budget, purchase requisitions and vendor invoice payments in SAP

  • Acts as departmental point of service contact for internal and external customers

  • Manages internal Distribution of finalized real estate transactions

  • Organizes and maintains Real Estate department file system

  • Acts as liaison with outside contractors and internal KCS departments

  • Creates digital document relationships to ensure efficient access and retention of departmental information

  • Processes expense reports for Departmental Directors

  • Coordinates check and wire requests for payment of departmental services or real estate transactions

  • Coordinates with internal legal department to keep document library up to date
