Job Description

JOB SUMMARY:

Responsible for the key day to day and critical activities to maintain the Sales and Marketing team, minimize risk and facilitate growth. Responsible for supporting the entire Sales and Marketing organization and the Administrative Assistant to the CMO (Chief Marketing Officer).

JOB DUTIES:

Administrative:

  • Provides administrative support for a large team including arranging travel, scheduling meetings, managing calendars, ordering supplies, managing mailings, fulfilling small customer requests, filing, managing distribution lists, and other related duties;

  • Serve as back up to the Executive Administrative Assistants in their absence or when additional support is needed;

  • Assist with presentations, spreadsheets, data entry and other duties as assigned.

Budget/Fiscal:

  • Reconciles, prepares and submits for timely reporting T&E (Travel and Entertainment) reports for Sales and Marketing executives;

  • Manages Purchase Orders and Requisitions for both US and Mexico Sales and Marketing;

  • Pays invoices for memberships, events, consultants, professional services and various other miscellaneous purchases, payments and returns.

Event/Meeting Management and Planning:

  • Coordinates onsite and offsite meetings to support Sales and Marketing executives and team including accommodations, hospitality services, audio/visual, transporation, and all other components related to the meeting;

  • Manages customer events from set up to tear down including staffing, suppliers, vendors and caterers at all such events both onsite and remote for pre-business hours, during business hours and after hour events.

Contract management:

  • Works with Legal to administer the customer contract database and serves as the go-to subject matter expert for the contract management system;

  • Exemplifies KCS Vision, Values, and Culture in each and every interaction with team, clients, and stakeholders.

BASIC QUALIFICATIONS:

  • High school diploma or GED required;

  • 3 years experience providing administrative support, including managing multiple tasks;

  • or equivalent combination of education and experience,

PREFERRED REQUIREMENTS:

  • Associate's or Bachelor’s degree.

  • Bilingual – English and Spanish.

  • Responds appropriately to stressful situations and is even-tempered. Flexible in response to changing or ambiguous situations.

  • Ability to support a large organization

  • Minimal travel (5%) may be expected.

  • Ability to work nights and weekends as workload dictates.
